Often you may have the content you want to put on the website in the form of an existing document - such as one that was already prepared for another purpose such as printing. This FAQ item tells you how to share such documents effectively on the website with minimum work.
Most of the work is already done in the existing document. No need to redo it. However you do need to do three things:
- Convert the document into the format you want it to be on the website. This will often by a pdf file which is less editable and a smaller file size than say an original Word, Excel or Powerpoint file and also has the advantage that all (or nearly all) users can view pdfs in their internet browser. There are free converters to pdfs available on the internet.
- Create a new content item on the site in the appropriate section and category and write a teaser sentence (or more) to introduce the attached document. This introduction should set the context, contain the link to the uploaded file and motivate a reader to actually click through. It is friendly to include the format and size of the attached file. An example might be: "John Blogs has written a report on X, Y and Z, based on his experience over a number of years. He suggests a number of practical steps forward. Read the X, Y and Z report (pdf, xxx kb)."
- Then highlight the text you want to act as the link to your converted document and follow the steps in Linking to a file that you upload.
